Ancillary Services at UPEI is dedicated to creating a work environment that emphasizes customer service and teamwork while fostering a robust Residence Operation. UPEI Residence Services encompasses approximately 850 beds across five distinct accommodation facilities.

 

We are seeking a dynamic Residence Life and Operations Manager to help us achieve our mission of delivering an exceptional residence experience for our students. Reporting directly to the Director of Ancillary Services, this position will lead a team comprising 3 Assistant Managers, a Reservations and Assignments Administrator, 5 Senior Residence Life Advisors (SRLAs), and 28 Residence Life Advisors (RLAs).

 

The Residence Life and Operations Manager will oversee a 24/7 operation across five residence buildings year-round. This role includes managing significant logistical challenges for move-in and move-out periods, strategizing capital investments, and implementing best practices in conduct management, emergency response, and community building.

RESPONSIBILITIES:

  • Develop and Maintain Standard Operating Procedures (SOPs) for core residence operations, including staff and resident training, inventory management, student accounts, meal plans, contract maintenance, record keeping, safety procedures, and communication protocols

  • Incident and Crisis Management: As part of an on-call roster, respond to calls, manage staff and resident interactions, coordinate with professional services, notify relevant university stakeholders, and ensure support services are accessible

  • Human Resources Management: Oversee hiring, onboarding, training, performance management of a 37-member residence team, ensure compliance with HR policies, and maintain confidential records.

  • Financial Resource Management: Administer the residence operating budget, manage revenue and expenditures, and prioritize resource allocation to meet departmental needs

  • Administer Residence Systems and Technology: Manage key departmental systems and software including eRezLife, Kx, Avro Market, Papercut, Salto, 3rd party internet services, and the UPEI Campus Card system. The Manager of Residence Life and Operations is also responsible for generating reports, assisting with software contract negotiations, system upgrades, and coordination with other university stakeholders when required

  • Strategic Direction for Residence Culture and Programming: Ensure educational and community-building activities, staff professional development, integration of industry best practices, and set direction through strategic planning activities

PLEASE NOTE:  Due to the nature of the position, irregular working hours should be expected, along with some restrictions on vacation periods, outside employment, and other extracurricular activities. 

QUALIFICATIONS:

  • Educational Background: Post-secondary credential with substantial experience in student housing, showcasing progressive management, service, and leadership abilities

  • Residence Life Expertise: In-depth understanding and commitment to the residence life business cycle, with proven experience in residence staff assignment and oversight

  • Communication and Technical Proficiency: Exceptional interpersonal communication and organizational skills, including proficiency with various software programs and equipment used in residence operations management

  • Crisis Management: Strong skills in crisis management, adept at handling difficult situations within a university residence setting

  • Data and Budget Management: Demonstrated ability to collect, coordinate, and report on operational data, alongside effective financial budget management

  • Decision-Making and Conflict Resolution: Proven decision-making abilities and sound judgment, coupled with strong conflict management and resolution skills

  • Team Leadership: Proven ability to lead and collaborate within a highly effective team, showing initiative and contributing to the overall success of UPEI’s Ancillary operations
