The University of Prince Edward Island is seeking candidates to work in the Faculty of Sustainable Design Engineering as an Administrative Assistant.

RESPONSIBILITIES:

As a member of a team and reporting to the Dean, this position provides administrative and operational support to the Dean, faculty, staff and students, detailed as follows:

  • Provide frontline administrative support and service to faculty, staff, students and others
  • Provide administrative support to FSDE committees as required
  • Provide support for building management and operations including access, space and signage
  • Provide human resources support on employment and personnel matters related to staff and students
  • Assist with budget maintenance and other finance and budget matters
  • Prepare, submit, and track expense and travel claims for faculty, staff and students
  • Submit purchase requisitions and work orders as required
  • Coordinate and administer the Student Opinion of Teaching Surveys
  • Arrange for catering, room bookings and special events
  • Book travel and accommodations for faculty, staff, and students
  • Source, order, and maintain office supplies
  • Respond to telephone, email, and direct walk-in inquiries

QUALIFICATIONS:

  • Successful completion of Grade 12 and a post-secondary education in an administrative assistant program with two years related experience, or an equivalent combination of training and experience
  • Skills in office management and proficiency in Word, Excel, PowerPoint, email usage, Google drive and its applications, internet searches and data management programs
  • Excellent time management, organization, communication, interpersonal, analytical, problem-solving, professional, and independent-work skills
  • Attention to detail and accuracy in an environment where errors can have severe consequences
  • An ability to work independently as well as a member of a team, exercising a high degree of judgment, professionalism, confidentiality and discretion
  • An ability to work with minimal supervision
  • A familiarity with a university environment would be considered an asset
  • A familiarity with UPEI systems, regulations and policies would be considered an asset
